Terms of Service & Appointment Booking Policy

Last Updated: October 15, 2026

Key Booking Terms (§37)

Online booking requests reserve a tentative slot at Thamel Clinic with zero upfront payment. To cancel or reschedule, simply reply to your confirmation email or message us on WhatsApp at least 4 hours before your requested window.

1. Appointment Requests & Confirmation

Submitting the booking form on `/book` creates a tentative appointment request (`TC-YYYYMMDD-XXXX`) on our clinic’s Google Calendar in Nepal Time (`Asia/Kathmandu`, UTC+5:45). Walk-in patients with urgent acute symptoms are triaged by clinical priority.

2. Cancellation, Rescheduling & No-Show Policy

  • Free Rescheduling / Cancellation: Please notify us by replying to your confirmation email or messaging +977-9747726036 on WhatsApp at least 4 hours prior to your slot.
  • No-Shows: We never charge a no-show penalty fee. If your trek or flight was delayed and you missed your window, you may rebook or walk in later the same day.

3. Patients Under 18 (Minors)

Appointments and clinical treatments for patients under 18 years of age require the presence and consent of an accompanying parent, legal guardian, or authorized adult expedition leader.

4. Fees, Payment & Travel Insurance

Indicative USD fees published on this website are converted at the prevailing Nepal Rastra Bank exchange rate in Nepali Rupees (NPR). Unless a written Guarantee of Payment (GOP) has been issued in advance by your international assistance company, outpatient fees are settled at checkout via credit card or cash, and we provide a complete stamped English ICD-10 claim packet for insurer reimbursement.

Key Points in Plain Language

These terms govern your use of this website and our medical services. The essential points: the website provides health information, not a substitute for consultation; medical advice requires an actual visit; pricing is indicative until services are confirmed; and your insurance claim depends on the documentation we provide and your insurer's terms.

What these terms mean practically

  • Website content is educational — it does not create a doctor-patient relationship
  • Prices shown are indicative — confirmed at time of service
  • Insurance reimbursement is between you and your insurer — we provide documentation
  • Emergency guidance — we are an outpatient clinic, not a 24/7 emergency department
  • Accuracy — we maintain current information but medicine and regulations evolve

Medical Disclaimer Summary

The health information on this site is for general guidance — it cannot account for your specific medical history, current medications, or individual circumstances. Reading about a condition is not the same as being assessed for it. For any health concern, the consultation is the appropriate response — the website is the starting point, not the conclusion.

Are the prices on the website final?

Indicative — USD prices are converted at prevailing exchange rates and may vary slightly. Final pricing is confirmed at time of service. The consultation fee ($35) is fixed; additional services are quoted before they are performed.

Does the website provide medical advice?

Educational information only — the content does not create a doctor-patient relationship and is not a substitute for consultation. Health information is general; your specific situation requires clinical assessment.

How does payment work?

Payment at time of service — cash (NPR or USD) or card. Insurance reimbursement is claimed by you with our documentation; we provide the claim-ready packet but the reimbursement decision is your insurer's.

What about emergencies?

We are an outpatient clinic open 8 AM–10 PM, not a 24/7 emergency department. Life-threatening emergencies go to hospital emergency departments — the terms make this boundary explicit.

Can I rely on website information for decisions?

Use it as a starting point — the information is maintained and medically reviewed, but individual circumstances require individual assessment. For decisions about your health, consult a clinician.
